Grant Report Policy
This policy is designed to outline our goals and expectations regarding grant reporting. The aim of grant reports is to demonstrate the impact of grants, to relay information regarding the scope of the work, and provide relevant information for the purpose of decision making and ongoing learning. Reports are used to better inform The County Foundation’s staff and Board of Directors, as well as our network of donors and partners about how grants benefit the community and are used to measure how effectively grants are addressing the needs of Prince Edward County.
Transparency and Accountability
Receiving a grant report ensures that funding is used responsibly and in line with the intended purpose of the grant. This builds a stronger relationship between the Funder and Grant Recipient by establishing collaboration and trust.
Ongoing Learning
Grant Reports are a valuable resource for ongoing learning around our grant programs to identify successes and opportunities for improvement. They are also a learning tool for recipients and offer an opportunity to reflect on their own work and adjust as needed to enhance their own goals.
Deadlines of Grant Reports
Grant Recipients are expected to provide a follow-up grant report when outlined as required within 1 year of funding being disbursed unless an ulterior timeline and agreement has been established between The County Foundation and the Grant Recipient.
Deadline Reminders
Grant Recipients will be sent a reminder email by The County Foundation before the deadline of a grant report, but it is ultimately the responsibility of the Grant Recipient to ensure that a grant report has been received on time.
Primary Contact Changes
Grant Recipients must notify The County Foundation if the primary contact information for a grant has changed and needs to be updated.
Late Submissions
If your report will be late for any reason, then please notify The County Foundation immediately to provide an update.
Consequences of Failing to Submit a Grant Report
Grant Recipients who do not submit a required grant report and attempt to apply for additional funding through The County Foundation will be provided a warning that a previous grant report was not submitted.
If a Grant Recipient submits a late grant report or fails to submit a grant report following a warning, then they will be notified that they are unable to apply for additional funding through The County Foundation for 1 year or more depending on the circumstances.
